These Terms of Service apply to all bookings and services provided by Gold Coast Passport Photography. By making a booking or attending an appointment, you agree to the terms outlined below.

1. Scope of Service

Gold Coast Passport Photography provides passport, visa, and identification photographs only. No other photography services are offered or implied.

2. Bookings

All services are provided by appointment only. One booking is required per person, including babies and children. Clients are asked to arrive on time for their scheduled appointment to ensure smooth operation and fairness to other clients.

If you arrive more than 15 minutes late, your appointment may not be able to proceed and may be treated as a missed appointment under Section 8.

3. Payments

Payment is required at the time of booking. All prices are displayed clearly and listed in Australian dollars.

4. Photo Compliance

Photographs are captured and prepared in accordance with officially published Australian and international passport, visa, and identification photo requirements, based on the requirements supplied or identified by the client at the time of booking or appointment.

While every effort is made to prepare photographs to the relevant technical requirements, final acceptance remains at the discretion of the issuing authority.

5. Guarantee

Your Statutory Rights

Nothing in these terms excludes, restricts, or modifies any rights or remedies you may have under the Australian Consumer Law or other applicable consumer protection laws.

Photo Preparation Guarantee

If a photograph is rejected due to a technical issue caused by our preparation of the photograph, we will reshoot, correct, or reprint the photograph at no additional charge. This guarantee applies to technical photo requirements within our control, including sizing, cropping, lighting, background, print quality, or file preparation.

This guarantee does not apply where a photograph is rejected for reasons outside our control, including:

~Incorrect information supplied to us

~Changes in authority requirements

~Application issues unrelated to the photograph, such as incomplete forms or supporting documents

~Decisions made by a governing body or issuing authority for reasons not connected to the technical preparation of the image

This guarantee relates only to the preparation of the photograph and does not guarantee approval of any passport, visa, licence, identity document, or application.

6. Image Storage

Passport, visa, and ID photographs are retained for a period of 30 days from the date of capture. Clients must request any reprints, corrections, or changes within this timeframe. After 30 days, images are permanently deleted.

7. Copyright and Image Use

Copyright of passport, visa, and identification photographs is assigned to the person photographed, or to their parent or legal guardian in the case of a minor. Gold Coast Passport Photography does not retain any usage rights and will not use these images for marketing, promotion, portfolio display, training, or any other purpose.

Images are supplied strictly for official identification use only and must not be altered or used for any other purpose.

8. Cancellations and Missed Appointments

Cancellations made with at least 24 hours' notice can be rescheduled at no charge. Cancellations made with less than 24 hours' notice, or missed appointments, will result in forfeit of payment.

We recommend contacting us as early as possible if you are unable to attend your appointment.

9. Accessibility and Support

We welcome and support clients of all abilities. If you require additional time, assistance, or specific accommodations, please let us know in advance so we can best support your visit.

10. Governing Law

These Terms of Service are governed by the laws of Queensland, Australia, and any disputes will be handled in accordance with those laws.

2. How We Use Your Information

Your personal information is used solely for legitimate business purposes. This includes:

Providing passport, visa, and ID photography services

Processing and managing bookings and appointments

Ensuring photographs meet official Australian and international requirements

Contacting you if clarification, reprints, or follow-up is required

Gold Coast Passport Photography does not use any passport, visa, or identification images for marketing, portfolio, training, or promotional purposes.

3. Storage and Retention of Images

Passport, visa, and ID photographs are securely stored for 30 days from the date of capture. After 30 days, images are permanently deleted, except where we are required by law to retain them for a longer period. Clients should request any reprints, corrections, or reshoots within the 30-day period.

4. Disclosure of Personal Information

We do not sell, rent, or trade your personal information.

We may share limited personal information with third-party service providers who support our operations, including payment processors, booking platform providers, and secure data storage services. These providers are required to handle your information securely and in accordance with applicable privacy laws.

Some of our service providers may store or process information outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure your information is handled in accordance with the Australian Privacy Principles.

Your information may also be disclosed where required or authorised by law.

5. Website Data, Cookies, and Analytics
